Make balance check a physical step: cashier opens the order, says the remaining amount, takes payment, marks paid, then releases the garment. Skipping the spoken amount is how “I thought it was paid” starts.
For bank transfers, confirm receipt before handover when possible. If you release on a screenshot, note it and verify within the hour. Unverified screenshots are a common leakage point.
Month-end, reconcile order balances against cash and bank. Differences usually point to unlogged discounts or unrecorded refunds—fix the habit, not only the math.
Publish a one-page payment policy at the desk: advance percent, accepted methods, when balance is due, and how refunds work after cutting. Staff should not invent policy under pressure.
If a VIP skips advance, record who approved it. Silent exceptions become the new default within a month.
Advance is money collected before or during production to commit the customer and fund fabric/labor. Balance is what remains before handover. If staff treat all cash as “shop money” without labeling which order it belongs to, you will deliver garments with unpaid balances and not notice until month-end.
Say the words out loud at the counter: “This is the advance. This will be the balance on pickup.” Clarity prevents later arguments.
Rules that prevent drama
- No cutting without the agreed advance (except documented VIP exceptions).
- Every payment gets a method (cash/bank) and an order link.
- Ready garments with unpaid balances get a reminder message before pickup day.
- Refunds are recorded—never “just give cash back” with no trail.
- Cashiers check balance before the garment leaves the counter.
Partial payments
Customers often pay balance in two visits. Your system should show running paid total and remaining balance on the order. Cashiers should not recalculate from WhatsApp screenshots.
If a customer pays toward a multi-item order, note whether the payment is general or tied to a specific item if your policy needs that detail.
Ready + unpaid is a special state
A garment can be finished and still financially open. Train staff to check balance before handover. A printable receipt at collection closes the loop and looks professional.
Create a daily list of ready-unpaid. Message those customers. Do not let ready garments become free storage.
